1. Scope of Application
These General Terms & Conditions govern all training services provided by GREEN Solar Academy. By confirming a booking or accepting a quote, the client agrees to these terms in full.
Quotes issued by GREEN Solar Academy reference the applicable booking type below. No additional terms need to be attached to individual quotes.
2. Payment Terms
- Participants register online or accept a quotation issued by GREEN Solar Academy.
- Upon registration or online acceptance of the quotation via the Xero acceptance link provided by email, GREEN Solar Academy will issue a proforma invoice and temporarily reserve the requested training seats and/or dates.
- Training seats and course dates are only confirmed once the required payment has been received by GREEN Solar Academy.
- A minimum payment of 50% is required to secure the booking. The remaining balance must be paid no later than 14 calendar days before the start of the training.
- GREEN Solar Academy operates on a first-paid-first-served basis. Neither the quotation, registration, proforma invoice, nor stated payment due date guarantees participation in a training course.
- For group bookings and closed trainings, the agreed amount remains payable irrespective of the actual number of participants attending.
- Where an official Purchase Order (PO), signed contract, tender agreement, or service agreement is in place, the payment terms defined therein shall take precedence over these standard payment terms.
3. Training Dates & Scheduling
- Scheduled course dates and training locations for regular trainings are published on www.solar-training.org.
- Individual, closed-group or client-specific training dates are arranged separately and confirmed in writing.
- Training dates are subject to trainer and venue availability until confirmed by GREEN Solar Academy.
- For individually arranged trainings, dates will be confirmed after receipt of the initial payment, but at least 4 weeks before the training start date.
4. Training Venues & Responsibilities
- Training may be delivered at a GREEN Solar Academy venue, at a client-selected venue, or online.
- The applicable training venue is specified in the quotation or during the online registration process.
4.1 GREEN Solar Academy venue
GREEN Solar Academy is responsible for providing:
- The training as described on the website and in the respective data sheet
- Fully equipped training venue (classroom, internet access and solar workshop)
- Catering (2 coffee one lunch break per training day), unless otherwise stated in the quotation.
- Course handouts and certificates of attendance
- Transport and accommodation of the trainers unless otherwise agreed in writing.
- Printing of course handouts and certificates, unless otherwise agreed.
The client is responsible for:
- Providing transport, accommodation and catering for participants, where applicable
- Registration of the participants on the GREEN online course registration portal.
Catering is generally not included for examinations, assessments or certification events.
4.2 Client Venue and Responsibilities
The client is responsible for providing:
- A suitable training venue,
- Required presentation equipment suitable for the training,
- High-speed internet access (minimum 500 Mbps),
- Transport, accommodation and catering for participants, where applicable,
- Participant devices (laptops, tablets, or smartphones) when blended learning or online tests form part of the programme
GREEN Solar Academy is responsible for providing:
- The training as described on the website and in the respective data sheet
- Course handouts and certificates of attendance as pdf (soft copy)
- Transport and accommodation of the trainers unless otherwise agreed in writing.
4.3 Online training
- GREEN Solar Academy provides access to the required online platform and relevant access information.
- Participants are responsible for ensuring suitable internet connectivity and compatible devices.
5. Client Cancellations / Rescheduling / Postponements
For the purposes of these Terms and Conditions, cancellation, rescheduling, postponement, and requesting to move to another course date are treated in the same way and follow the timelines below
- 14 calendar days or more before the event start date:
You may cancel, reschedule, or postpone without penalty.
- Between 13 and 5 calendar days before the event start date:
A 20% penalty of the course fee applies.
- Between 4 and 1 calendar days before the event start date:
A 100% penalty of the course fee applies.
5.1 Event Cancellations by GREEN
- If an event does not reach minimum numbers or, for some other unavoidable reason is cancelled, the fee will be refunded in full.
- If a training is to be cancelled, you will be notified 7 calendar days prior to the training.
- GREEN Solar Academy shall not accept liability for any consequential loss and shall have no liability to reimburse any other costs that may have been incurred, including travel and transport costs, accommodation, etc.
5.2 No Shows and Medical emergency
- A participant who is registered for a course and does not sign in for the course will still be liable for the full fee.
- In the case of a medical emergency, proof of such will be required by GREEN Solar Academy on the first day of training or assessment and 20% admin fee will be administered with only the option of transferring to another date.
6. Transfers, and Registrant change
Transfers
- You can transfer a registrant to another event 14 calendar days or more prior to the event start date. You will be charged or refunded any differences in the event price.
Registrant change
- You can change the registrant on an event to another person 1 working day or more prior to the event.
7. Issuing of Certificates
- A participant must have an attendance rate of at least 90% in order for GREEN Solar Academy to issue a certificate for a training.
- Certificates will only be issued once the course fee has been paid in full. Participants with outstanding payments will not receive their certificate until the balance is settled.
8. PV GreenCard Assessments
Late Arrivals
- Theory assessment: The start time is 08h00. Arriving late for the theory assessment will take away from the time allocated for you to complete the exam. No extra time will be added.
- Practical: The start time is 08h00. You need to arrive at the venue 30 minutes before the scheduled start time. You will not be allowed to participate in the practical assessment if you arrive later than the scheduled start time. In order to re-schedule you for another practical assessment, a fee of R5 000 ex VAT will be charged.
Reserve dates for Cape Town Assessments
- Due to the unpredictable nature of Cape Town weather we cannot guarantee that the PV Assessments in Cape Town take place as scheduled.
- For every PV Assessment we have allocated 'reserve days' which are scheduled exactly 1-week after the original days.
- Participants have to make sure that they are available for both the original and the 'reserve days'.
- We alert participants about the possibility of rescheduling to a reserve day at least 72 hours in advance; a final decision will be made at least 48 hours in advance of your original exam date.
- If you are unable to attend this reserve day, you will be allocated a place at the next scheduled PVA exam date at no extra charge.
9. GREEN Online Exams
- GREEN online exams are available on demand.
- Once applicable entry requirements have been confirmed and payment has been received, participants will receive an email with their login details and instructions for accessing the online exam portal.
- Exam access is issued to the registered participant only and may not be transferred or shared with another person.
- Participants must complete and submit the exam in accordance with the instructions provided for the specific examination.
- Once exam access has been issued or the participant has started the exam, the registration may not be cancelled, transferred or refunded.
- Any participant requiring another attempt must register and pay for a new examination, unless otherwise confirmed by GREEN Solar Academy.
10. Discounts
GREEN offers the following discounts:
- 10% for GREEN or maxx academy Alumni: To benefit from alumni discounts, the participant must have taken part in at least one training at the time of booking. Retroactive recognition of the alumni status for bookings is not possible.
- 10% for multiple bookings:
- 3 or more participants from one organisation who register at the same time (can be for different courses, must be one invoice, excludes exams and assessments)
- 1 participant who registers for 3 or more courses at the same time (must be one invoice, excludes exams and assessments)
- 12% for early bird registration, available with selected courses. (To qualify for the early bird discount, registration and payment must be made 8 weeks or more before the course starts)
- GREEN may from time to time offer limited-period promotional discounts. Promotional codes and applicable dates will be communicated via GREEN's official channels. Promotional discounts do not apply to exams or assessments and are not combinable with the standard discounts above unless explicitly stated.
Discounts are not combinable.
11. GREEN Copyright
GREEN Solar Academy has the sole and exclusive intellectual property of all training material, including the syllabus, and all course material, exercises and aids used during trainings. All material is strictly for a participant’s own use. No individual or entity may reproduce, display (post/upload), give, sell or otherwise distribute any course material received from GREEN Solar Academy.
12. Indemnity
All people entering any GREEN Solar Academy premises, including parking and practical areas, do so at their own risk. GREEN Solar Academy (which includes its employees, agents, representatives, contractors, managers or any person acting under its control) shall not be liable for any claim or damages arising or suffered by anyone entering any GREEN Solar Academy premises, either directly or indirectly, in any manner whatsoever, including but not limited to, personal injury, death or harm caused to any person, company or entity for damage, loss or destruction of their goods and property arising from the negligence of GREEN Solar Academy.
GREEN Solar Academy shall not be liable for the safekeeping, custody or damage or any vehicle, goods or property as a result of any negligent act by GREEN Solar Academy through collision, fire theft, rain hail or any cause whatsoever.
13. Data Protection and Privacy
We are processing your data in accordance with the Protection of Personal Information Act 4 of 2013 (POPI). Our training courses are implemented in cooperation with local partners, as a result, your contact and registration information will be forwarded to third parties with the purpose of preparing and conducting the training accordingly.
Personal data will be stored on servers outside South Africa. For details, please see our privacy policy.
14. Force Majeure
GREEN Solar Academy shall not be held liable for delays, postponements or cancellations caused by circumstances beyond reasonable control.
15. Special Campaigns
All special campaigns, promotions, and limited-time offers remain subject to these General Terms and Conditions. Where applicable, additional campaign-specific terms and conditions will apply and are published exclusively on our website at: https://checkout.solar-training.org/za/terms-and-conditions?id=1. By participating in a special campaign or promotion, participants agree to both these General Terms and Conditions and the applicable campaign-specific terms.
